Explanation of Days Care Billing Generation Cutoff Date
Days Care Billing Generation Cutoff Dates allow agencies to prevent unauthorized changes to information that has already been used to bill funding organizations or pay foster homes. These include changes to placements, admissions, discharges, and rate changes that occur before a “cutoff” date. When this functionality is enabled, only Full Administrators and Restricted Administrators with Billing permissions can modify this data.
Enabling Billing Generation Cutoff Date
To enable Billing Cutoff for your agency, go to your Organization Preferences (requires Full Administrator access). Click Edit. On the Settings tab, place a check-mark next to “Restrict placement and rate changes to administrators only before”. Select a date from the calendar icon and enter contact information for your billing department. Then click “Save”

Billing Generation Cutoff Date Information Alerts
- Changes to Placements before the Cutoff Date:
Agency Administrators and Billing Administrators will receive this warning banner, but can still add, change, or delete bill data prior to cutoff date.

All other users cannot add, change, or delete placement data prior to cutoff date. They will be directed to contact the billing department for assistance.

- Intake and Admissions before the Cutoff Date
Any admission dates prior to the cutoff date cannot be modified by regular users. Clicking the “i” (Information) icon next to the Admission date will provide an explanation and display contact information for your agency’s billing department.

- Rate Revisions before the Cutoff Dates
If the revision date is prior to the billing cutoff, this information box will open, providing contact data for your agency’s billing department.

- Modified Discharge Information
If the discharge information is modified, this information box will open. Regular users can change the outcome, but not the discharge date.

Updating the Cutoff Date During Days Care Generation
When the billing cutoff date functionality is enabled, the days care billing generation screen will provide an option to update the cutoff date. (This saves the step of updating the date inside of the organization preferences each time).
